When businesses prepare for an exhibition or major event, it's natural to focus on the obvious elements. Stand design, branding, logistics, products, demonstrations and marketing materials all receive significant attention.
Yet one of the most important factors influencing the success of any event is often overlooked. The people delivering it.
Exhibiting is physically and mentally demanding. Long days on your feet, constant conversations, networking before the doors open and after they’ve closed, all while maintaining the same enthusiasm for the final visitor as you had for the first. By the second or third day, energy levels inevitably begin to dip. Visitors notice it too. They are naturally drawn towards stands where the team looks engaged, approachable and genuinely pleased to be there.
That’s why looking after your people shouldn’t be considered a welfare exercise. It should be part of your event strategy. Comfortable footwear, sensible rotas, adequate staffing, regular breaks, hydration and healthy refreshments all contribute to maintaining energy throughout the event. They aren’t additional costs; they’re investments in the experience your visitors receive and, ultimately, in the commercial success of the exhibition itself.
It’s not just Events
The interesting thing is that these principles don’t stop at exhibitions and events.
How often do we recognise the same patterns within our own workplaces? The colleague who gradually becomes quieter, the manager whose patience is shorter than usual, or the team that simply appears to be running on empty after weeks of sustained pressure. As leaders, we’re often measured against budgets, deadlines and productivity, but perhaps we should spend just as much time understanding the energy of the people responsible for delivering those results.
One question we regularly ask clients is not simply, “Is your stand ready?” but “Is your team ready?” The answer often shapes the success of the event just as much as the design itself. A well-prepared, well-supported team will almost always outperform a tired one, regardless of the size of the stand or the marketing budget behind it.
Successful events aren’t built solely through good design or careful logistics. They are delivered by people.
If we want our teams to create memorable experiences for customers, we first need to create the right experience for them.
At Saward Marketing & Events, we believe supporting our clients extends far beyond the physical build. From early planning and budgeting through to visitor engagement and post-event review, we help businesses prepare not only their events, but the people who bring them to life.
If you’re already planning your next exhibition or event and would like to explore how better preparation can improve both your team’s experience and your return on investment, we’d be delighted to start that conversation.
